Privacy Policy

Earmail takes your privacy seriously. This policy explains what data we collect, how we use it, and your rights.

What We Collect

Account Information

When you sign up, we collect your email address and name. We use this to authenticate you and personalize your experience.

Email Content

When you forward an email to your Earmail address, we receive and process the full email content. We use this to:

  • Extract the newsletter text
  • Clean up the content for narration (removing ads, footers, tracking elements)
  • Generate an audio narration
  • Generate the optional extras you enable — weekly digest episodes, reflection prompts, and answers to your follow-up questions

We store the original email text and the cleaned version so you can review them in your dashboard. We do not sell your email content, and we do not use it for any purpose other than producing your episodes and the features described in this policy.

Follow-Up Questions

When you reply to an episode with a question (by email or from the episode page), we receive and process your reply to generate an answer grounded in that episode's content. We store your question and the generated answer alongside the episode, and deliver the answer as an audio episode in your feed, an email, or both, depending on your settings.

Audio Files

We store the generated MP3 audio files on our servers so they can be delivered to your podcast app. These files are accessible only via your private feed URL.

Usage Data

We collect basic analytics to understand how the service is used:

  • Audio download/streaming events (IP addresses are pseudonymized, never stored raw)
  • Playback progress (if using the web player)
  • Episode feedback you voluntarily submit

We never store raw IP addresses. Each is converted to a keyed, rotating pseudonym that can't be reversed without a server secret and that changes every month — so your listening can't be identified from this data or linked across time.

Third-Party Services

Earmail uses the following third-party services to operate:

  • Anthropic (Claude) — processes your email text to clean it up for narration, organize your episodes, and generate the extras you enable (weekly digests, reflection prompts, answers to follow-up questions). Your email content is sent to their API for processing. See Anthropic's privacy policy.
  • OpenAI — converts cleaned text to speech audio. Your cleaned text is sent to their API. See OpenAI's privacy policy.
  • Resend — sends our emails: magic link logins, episode and answer emails, and occasional service emails. Your email address (and, for episode emails, episode content) is shared with them for delivery. See Resend's privacy policy.
  • Stripe — processes payments for paid subscriptions. We never see your full card details. See Stripe's privacy policy.
  • Cloudflare — routes incoming emails and serves our website. See Cloudflare's privacy policy.
  • Fly.io — hosts our application and database. See Fly.io's privacy policy.

Data Retention

We retain your data for as long as your account is active. If you delete your account, we will delete your personal information, email content, and audio files within 30 days. Pseudonymous analytics events are automatically deleted after 90 days.

Your Rights

You can:

  • Access your data through the dashboard (email content, transcripts, audio)
  • Delete individual episodes from your dashboard
  • Request a full export or deletion of your data by emailing us
  • Close your account at any time

Security

We use encryption in transit (HTTPS/TLS) for all connections. Your data is stored on encrypted volumes. Access to production systems is restricted. We do not sell, share, or monetize your personal data or email content.

Children

Earmail is not intended for use by anyone under 13 years of age. We do not knowingly collect personal information from children.

Changes

We may update this policy from time to time. Material changes will be communicated by email. The “last updated” date at the top reflects the most recent revision.
