Earmail takes your privacy seriously. This policy explains what data we collect, how we use it, and your rights.

What We Collect

Account Information

When you sign up, we collect your email address and name. We use this to authenticate you and personalize your experience.

Email Content

When you forward an email to your Earmail address, we receive and process the full email content. We use this to:

  • Extract the newsletter text
  • Clean up the content for narration (removing ads, footers, tracking elements)
  • Generate an audio narration

We store the original email text and the cleaned version so you can review them in your dashboard. We do not read, analyze, or sell your email content for any purpose other than generating your audio episodes.

Audio Files

We store the generated MP3 audio files on our servers so they can be delivered to your podcast app. These files are accessible only via your private feed URL.

Usage Data

We collect basic analytics to understand how the service is used:

  • Audio download/streaming events (with hashed IP addresses for privacy)
  • Playback progress (if using the web player)
  • Episode feedback you voluntarily submit

We hash IP addresses before storing them — we cannot identify you from this data.

Third-Party Services

Earmail uses the following third-party services to operate:

Data Retention

We retain your data for as long as your account is active. If you delete your account, we will delete your personal information, email content, and audio files within 30 days. Anonymous analytics data may be retained indefinitely.

Your Rights

You can:

  • Access your data through the dashboard (email content, transcripts, audio)
  • Delete individual episodes from your dashboard
  • Request a full export or deletion of your data by emailing us
  • Close your account at any time

Security

We use encryption in transit (HTTPS/TLS) for all connections. Your data is stored on encrypted volumes. Access to production systems is restricted. We do not sell, share, or monetize your personal data or email content.

Children

Earmail is not intended for use by anyone under 13 years of age. We do not knowingly collect personal information from children.

Changes

We may update this policy from time to time. Material changes will be communicated by email. The “last updated” date at the top reflects the most recent revision.
